# NWS weather-call email forwarding

> Configure Cadmus to email stripped weather CFS reports to the National Weather Service on create and on each new general note.

Cadmus can automatically email the National Weather Service (NWS) when a weather-related call for service is created and when dispatchers add follow-up general notes. Emails go through **Azure Communication Services Email** only. The body contains time, location, incident type, and weather report text — not the full CFS PDF and not caller or unit PII fields.

## What gets sent

Each forward includes:

* CFS number (or incident ID if CFS is not yet assigned)
* Incident type name
* Timestamp (UTC)
* Location address
* The weather report text (initial description on create, or the new general note on update)

Email subjects are prefixed with the organization name, for example `St. Clair County NWS Weather CFS: …` and `St. Clair County NWS Weather CFS UPDATE: …`.

Cadmus does **not** include reporting-party name/phone, assigned units, vehicles, persons, confidential/CJIS notes, system notes, call-viewer links, or the CFS PDF.

<Warning>
  Free-text notes are forwarded as typed. Train dispatchers to put **weather facts only** on NWS-forward types (hail size, wind, flooding, trees down). Do not put names, phone numbers, or CJIS/MULES text in those notes.
</Warning>

## Enable for an organization

<Steps>
  <Step title="Set the NWS destination email">
    In Web Admin, open **Settings** and find **NWS Weather Forwarding**. Enter the forecast-office address (for example `contact.sgf@noaa.gov`). Leave blank to disable all NWS forwards for the org.
  </Step>

  <Step title="Confirm the Weather Report type">
    Every agency receives a protected **Weather Report** incident type with NWS forward enabled. It cannot be deleted or renamed. Dispatchers should use this type (or another type you flag below) for weather spotter reports.
  </Step>

  <Step title="Optionally flag other weather types">
    On any other incident type (Tree Down, Flooding, Hail, Wind Damage, and so on), enable **Forward weather calls to NWS**. Those types then use the same org destination email.
  </Step>
</Steps>

## When emails send

| Event | Behavior |
| - | - |
| Weather CFS created | One create email with time, location, type, and initial description |
| General note added | One update email with the new note text |
| Confidential / CJIS / system note | Skipped |
| NWS email setting empty | Skipped (warn in server logs) |
| Azure Email not configured | Skipped (warn in server logs; SendGrid is not used) |

## PII and note content

Server-side gates skip confidential, CJIS-classified, and system-generated notes. Free-text general notes are still forwarded as typed — train staff to put **weather facts only** on NWS-forward types.

On **Dispatch CAD**, NCIC/CJIS query actions are hidden for calls whose incident type has NWS forward enabled, and a short weather-facts hint appears on those calls. Mobile CAD is out of scope for this feature.
