# Fuel Logs in Dispatch CAD

> Log vehicle fuel fills from Dispatch CAD, including optional beginning and ending pump readings for mathematical verification.

Use **Fuel Log** when a deputy radios a fuel fill. Cadmus records the date and time automatically, associates the fill with a unit or vehicle number, and snapshots the signed-in dispatcher’s **DSN** (when present on their user profile) with their name.

Fuel Log is usually opened from a header shortcut or agency function key (often among **F6–F12**), not as a Call for Service. See [Quick Calls & F-Keys](/dispatch/quick-calls-fkeys).

## Who can log fuel

Dispatchers (and other roles with fuel-log create access) can save a fuel log from Dispatch CAD. Supervisors and admins can review or edit entries later in **Web Admin → Fuel Logs**.

## What to enter

    Press the agency Fuel Log shortcut or function key, or open it from the header controls your agency configured.

  <Step title="Select the unit or vehicle">
    Search by call sign, vehicle number, DSN, or officer name, then select the unit that fueled.

  <Step title="Enter pump readings (optional)">
    Type the **beginning pump** and **ending pump** meter readings from the station pump. Cadmus may prefill **beginning pump** from the last ending reading logged for your agency. You can overwrite the prefilled value.
  </Step>

  <Step title="Enter gallons">
    Enter the gallons pumped. Gallons are required even when pump readings are blank.
  </Step>

  <Step title="Add optional details">
    Enter odometer, fuel type, and notes as needed, then **Save**.

## Pump difference check

When both pump readings are entered, Cadmus shows the **pump difference** (`ending − beginning`) next to gallons.

* If gallons and the pump difference disagree by more than a small rounding tolerance, Cadmus shows an amber warning.
* You can still save. The warning is intentional so supervisors can see mismatches later.
* Ending pump must be greater than or equal to beginning pump, or Cadmus blocks that pair until corrected.

## Who is recorded as entered by

Cadmus stores the signed-in user’s name and, when configured on the user record, their **DSN**. You do not type DSN on the Fuel Log form. If DSN is missing on a saved log, ask an administrator to set **DSN** on the user profile in Web Admin.
