# Run NCIC and CJIS Queries from Cadmus Dispatch CAD

> Use the Query Workspace (F3) and in-call query panels to run CJIS/NCIC lookups on plates, vehicles, persons, and firearms tied to a call.

NCIC and CJIS query capabilities in Cadmus let authorized law-enforcement dispatchers run real-time lookups on license plates, vehicles, persons, firearms, and more — all without leaving the dispatch console. Query results can be tied to an open call for service, creating a complete audit trail on the incident record. Access to these features requires your agency's CJIS site configuration and proper user permissions.

## Query Workspace (F3)

Press **F3** or click **Query** in the header to open the full-screen **Query Workspace**.

  If your agency's CJIS access is not enabled or your user account lacks the required permissions, Cadmus displays a **CJIS Access Denied** message. Contact your agency administrator to verify your **State/NCIC Access** setting — this is an administrative configuration issue, not a client bug.

### Query Categories

The left rail of the Query Workspace lists every available query type. Select a category to load its input form.

| **Plate**            | Look up a license plate number        |
| **VIN**              | Query a vehicle identification number |
| **Name / DOR**       | Search for a person or driver         |
| **Vehicle Owner**    | Identify a registered vehicle owner   |
| **Boat**             | Query watercraft registrations        |
| **Gun**              | Look up a firearm by serial number    |
| **Serial**           | General serial number query           |
| **Wanted**           | Search wanted-persons records         |
| **Criminal History** | Run a criminal history query          |

<Tip>
  When querying out-of-state plates or licenses, always include the **state** in the query fields. Omitting the state can return incomplete or incorrect results.

### Recent Queries

The **Recent Queries** sidebar inside the workspace lists your most recent lookups. Each row shows the query's current status. Select a completed row to reopen its result without running the query again.

| Status                     | Meaning                                                                                             |
| -------------------------- | --------------------------------------------------------------------------------------------------- |
| **Sent** or **Pending**    | Cadmus submitted the query and is waiting for the CJIS system.                                      |
| **Completed — Hit**        | The response contains one or more matching records. Review the full result before taking action.    |
| **Completed — No hit**     | The response contains an explicit no-record or no-operator result.                                  |
| **Error** or **Timed out** | Cadmus could not complete the query. Open the row for available details, then retry if appropriate. |

  A completed icon confirms that a response arrived. It does not by itself indicate a hit. Read the status label and response details.

### Review a query result

  <Step title="Open the result">
    Select a completed query in **Recent Queries** or **CJIS Query History**. Pending queries show their current status instead of a completed result.

  <Step title="Review the parsed response">
    Start with **Parsed** for the key person, vehicle, license, warrant, or serial-record fields. Returned warrant or protection-order indicators appear here when present.
  </Step>

  <Step title="Check the authoritative response">
    Open **Raw** to review the response exactly as received. Use this restricted information only for an official law-enforcement purpose.
  </Step>

  <Step title="Review an available photo">
    Open **Photo** when the response includes an authorized DOR image. If the image is missing, too large, malformed, or no longer available, Cadmus keeps the parsed and raw response visible and marks the photo unavailable.

</Steps>

For DOR responses, **Suspended** and **Revoked** are warning statuses. **No Operators** means the response explicitly found no operator record; it is not a valid-license result. **Valid** and **Unknown** remain separate so an unknown status is never presented as clear.

  A hit, license status, and warrant or protection-order indicator describe different parts of the response. Review all displayed fields and follow your agency's confirmation procedure before enforcement action.

## In-Call Queries

When a query must be tied to an open incident, run it from within the call detail panel rather than the standalone Query Workspace. This links the results to the call's audit trail automatically.

From a call detail panel, you can initiate queries from several entry points:

* **Reporting Party → Query** — run a query directly from the reporting party block.
* **View** — open a read-only person or vehicle details dialog from the Persons / Vehicles involved cards (no edit required).
* **Query** — on a person or vehicle card when no prior CJIS query is associated with that subject on this call.
* **Review Query** — on a person or vehicle card when a prior query is already associated; reopens the saved CJIS result for that subject.
* **Run Query panel** — a consolidated panel offering **Persons**, **Vehicles**, **Serial**, and **Gun** query tabs from a single interface.

  Query types your account is not authorized to run display a **RESTRICTED** label. Contact your administrator if you believe you should have access to a restricted query type.

<Tip>
  Run queries from the open call whenever the results need to appear in the CFS audit trail. Use the standalone Query Workspace (F3) only for queries unrelated to a specific incident.
</Tip>

## CJIS Query History

Every query run from a call detail panel is logged in the **CJIS Query History** block at the bottom of that call. Click **Refresh** to reload the list. Status icons distinguish pending, completed hit, completed no-hit, and failed queries. Select a completed entry to reopen the same parsed, raw, and photo views available in the Query Workspace. This audit trail is tied to the incident record and is available for supervisory review and compliance reporting.

  Cadmus displays protection-order indicators when they are returned as part of an authorized response. This does not add a separate Ex Parte or Order of Protection query type.

## Command-Line Queries

For experienced dispatchers, Cadmus supports the following command-line query shortcuts:

| `DL`    | Driver's license lookup |
| `LP`    | License plate lookup    |
| `NAME`  | Person name query       |

## Administrator Requirements

NCIC/CJIS query access requires all three of the following to be configured correctly:

    In **Web Admin**, open **Settings** and configure the **CJIS Site** credentials for your organization. This step requires the CadmusAdmin platform role — contact your Cadmus implementer if you do not have access to this setting.

    In **Web Admin → Integrations**, enable **State/NCIC Access** for the agency.
  </Step>

  <Step title="Verify user-level access">
    Confirm that the individual user's effective access is not overridden by a denying permission. User-level permissions can be reviewed in the user management settings.

  All NCIC and CJIS queries are logged and auditable. Run queries only for official law-enforcement purposes in accordance with your agency's CJIS security policy. Unauthorized queries are a federal policy violation.

  Never read NCIC or CJIS query results aloud on an open or unencrypted radio channel. Relay sensitive information through secure communication channels only.
