Configurable rotations are in beta. Authorized administrators can prepare drafts and providers before rollout, but operational activation requires Cadmus to enable the feature for the selected scope. Do not use this guide as an indication that your agency’s current rotation workflow has changed.
Named rotations let authorized administrators organize eligible companies, personnel, units, and external contacts into callout lists. A rotation can use a weekly schedule or a round-robin order. Dispatchers record the result of each callout so the rotation history stays visible and the next eligible contact can be selected.

Who can use this

Access is limited by your signed-in organization, selected agency, and assigned permissions. An administrator can manage only the rotations and contacts within the scope they are authorized to administer. Dispatchers can use rotations available to their agency when the feature is enabled. If you cannot open Agency & dispatch → Rotations, your role may not have access. Ask your Cadmus administrator to confirm availability and permissions. Authorized administrators can prepare drafts and maintain providers before operational rollout is enabled; activation requires rollout enablement.

Create a rotation

1

Open Rotations

In Web Admin, open Agency & dispatch → Rotations. Confirm the organization in the shared organization picker, then choose the agency. Choose the organization-wide option only if your role and agency procedure allow it.
2

Details

Name the rotation for its purpose, such as towing, detective notifications, or EMS, and choose the weekly or round-robin method.
3

Members

Add the companies, personnel, units, or external contacts who may be called. Review each member’s name and call information.
4

Rules

Arrange members in the intended order. For a weekly rotation, set the Sunday anchor date and timezone; the first member owns the anchor week and members take turns by week from that date. For round-robin, configure whether declined, unanswered, or skipped callouts consume a turn. These options default to off.
5

Preview

Review the proposed order and schedule, then save the rotation as a draft. Confirm that the right members and rules are in place before activation.
6

Activate the rotation

Enter an activation reason and activate the rotation. Dispatchers can use an active rotation for callouts.

Update rotations and providers

Edit a rotation when its order, schedule, or rules change. Provider details can be edited separately from rotation membership. Record a reason when prompted so administrators can understand why the rotation changed. Use the providers view to add a towing company or external provider, including its name, telephone number, notes, and active status. For towing companies, select the supported towing capabilities. Personnel and units are selected from existing agency records; maintain those records through their normal administration pages. An organization-owned provider can be included in an agency rotation when it is offered in the member selector. An agency administrator cannot change that shared provider’s profile; ask an organization administrator to update it. When a company should no longer receive callouts, deactivate it. Deactivation keeps its prior rotation and call history available for review; it does not erase that history. Do not create a replacement entry merely to hide the old record.

Rotation methods

Review the rotation’s current rules before relying on the next member. Weekly ownership is fixed by the configured order, anchor date, and timezone.

Example setups

The same resource may belong to more than one named rotation. Each rotation maintains its own order and history.

Review changes

Rotation changes and callout outcomes include the person who made the change, when it happened, and a reason when one is required. Use this history to review rotation maintenance and explain adjustments during shift handoff. If another administrator updates a rotation while you are editing it, reload the latest version before trying again. Review the current values and reapply only the changes you still need; this avoids overwriting a newer schedule or member order.
